Set the temperature, do not guess it

A temperature download from the unit is the record of what actually happened between your dock and theirs. Ask for it on any load where a receiver could reject on temperature, and keep it - it is the difference between a claim you can win and one you cannot.

Cold chain

The cold chain starts at your dock, not in the trailer

A refrigerated trailer maintains temperature, it does not create it. That distinction is where most temperature claims originate. If product goes into the trailer at 8 degrees when it should be at 2, the reefer unit will spend hours pulling it down and may never get there, because trailer airflow is designed to hold a load at temperature rather than to chill a warm one. Product should be at its target temperature before it is loaded, and the pulp temperature should be taken and recorded at that point, not estimated from the room the pallets were staged in.

Door-open time at the dock does more damage than most shippers expect. A trailer pre-cooled to 2 degrees sitting with the doors open on a humid August afternoon in Mississauga loses temperature quickly and picks up moisture that condenses on the product and the walls. The fix is unglamorous and effective: load through a dock seal where one exists, stage the pallets before the truck backs in rather than after, and keep the reefer running rather than shutting it off for the loading window.

How the trailer is loaded matters as much as the temperature it is set to. Air has to circulate around and through the load, which means pallets do not go tight against the front bulkhead, do not block the return air chute along the floor, and do not stack above the load line where they will obstruct the discharge. Solid blocks of product loaded wall to wall create warm spots in the middle that no setpoint will fix. Where the load is short, it needs to be secured and spaced rather than pushed to one end and left.

Healthcare

Pharmaceutical and healthcare cold chain out of the GTA

Healthcare freight is temperature-controlled freight with a documentation burden attached. The common ranges are 2 to 8 degrees for refrigerated product and 15 to 25 degrees for controlled ambient, and the requirement is usually not just that the product stayed in range but that you can prove it did, continuously, for the whole journey. That means calibrated monitoring, a complete data record from loading to delivery, and a documented response if an excursion occurs. A trailer that held temperature but produced no record is, for these purposes, a trailer that failed.

Excursion handling is where the real difference lies between a carrier who moves food and a carrier who moves healthcare product. An excursion is not automatically a loss, but it has to be captured, reported promptly, and assessed against the product stability data by somebody qualified to make that call. What must not happen is a driver noticing a reading, adjusting the setpoint and saying nothing, because the shipment then arrives looking clean with an undocumented gap in its history. The requirement is honesty about what happened, in writing, at the time.

Practically, healthcare shipments out of the GTA also tend to carry tighter delivery constraints than food freight. Hospital and clinic receiving hours are narrow, distribution centres run scheduled appointments, and there is often nobody to take delivery outside a window. Combining that with a temperature requirement means the schedule has to be built backwards from the delivery appointment with real slack in it, because a shipment that arrives after receiving closes sits in a yard overnight, and a validated shipment sitting in a yard overnight is a conversation nobody wants to have.

Contingency

Reefer breakdowns, and what the contingency plan actually is

Refrigeration units fail. Not often, but often enough that a plan is part of the service rather than an admission of weakness. Most failures announce themselves through the telematics before the product is in trouble, which is the main practical argument for using carriers whose units report continuously rather than being read at the door. The window between a unit going down and product going out of specification is measured in hours for chilled freight and can be longer for frozen, and how that window is used decides whether there is a claim.

The response depends on where the truck is and what the product is. Options in order of preference are a roadside repair from the manufacturer service network, which is dense along the 401 and the US interstate corridors, a transload into a second reefer, or delivery to the nearest cold storage facility to hold the product while the unit is fixed. Toronto, Windsor, Detroit, Buffalo and Chicago all have both service coverage and public cold storage, which is one of the quiet advantages of the lanes most GTA reefer freight actually runs.

What you should expect from us is a phone call at the point the problem is known rather than a report at delivery. The value of the contingency is entirely in how early it starts. A unit that fails at midnight outside London and is reported at eight the next morning has consumed the whole window before anybody could act. A unit reported at midnight gets a service call, and in most cases the load delivers on time with a temperature record that shows a brief excursion and a documented response, which is a very different file from a load that arrives warm with no explanation.

Commodity

Produce, frozen, dairy and multi-temp: matching equipment to the product

Fresh produce is the most demanding category because different commodities want different things and some of them actively harm each other. Ethylene-producing items such as apples, pears and tomatoes accelerate ripening in ethylene-sensitive items such as leafy greens, broccoli and cucumbers, so they should not share a trailer without separation. Chill-sensitive produce, including bananas, citrus and many tropical items, suffers damage below certain temperatures rather than above them, which means an over-cooled trailer causes as much loss as a warm one. Setpoint is a per-commodity decision, not a per-trailer default.

Frozen freight is more forgiving on stability and less forgiving on recovery. Product held at minus 18 has substantial thermal mass and will ride through a short unit failure, but once it partially thaws it cannot simply be refrozen without quality loss and, for food safety purposes, cannot be treated as if nothing happened. Dairy and other chilled proteins sit in the middle: a narrow acceptable band, real spoilage risk, and receivers who reject on temperature at the door with the delivery record as the evidence.

Multi-temperature trailers use bulkheads to run two or three compartments at different setpoints, and they are genuinely useful for mixed grocery and foodservice loads. They are also less abundant, more expensive, and require the load to be built to respect the compartments. A single-compartment reefer cannot hold frozen and fresh at the same time, and any carrier who says it can is either misunderstanding the question or hoping the receiver will not check. Where a load genuinely needs both, either a multi-temp trailer or two loads is the honest answer.

Cross-border

Refrigerated freight across the border: prior notice, CFIA and rejections

Food moving into the United States requires prior notice to the FDA before it arrives, filed within the prescribed window, and the facilities that manufacture, process, pack or hold that food generally need to be registered. This is separate from the customs entry and separate from the eManifest, and it is a common gap for shippers who are experienced at moving industrial freight south and are moving food for the first time. A shipment that arrives without prior notice is refused entry, and refrigerated freight sitting at a border while paperwork is corrected is expensive in a way that dry freight is not.

Northbound, the Safe Food for Canadians Regulations bring most food imports under a licensing regime, with preventive control requirements and traceability obligations that reach back one step and forward one step. Certain commodities carry additional CFIA import requirements and some need permits. The transport leg is inside that scope, which is why the temperature record is not only commercial evidence for a claim but part of the compliance file. Keeping it retrievable rather than buried in a carrier portal that expires after 30 days is worth setting up deliberately.

Temperature is not the only reason a refrigerated load is rejected. Receivers check condition as well as the download, and a load that held 2 degrees the whole way can still be turned away for crushed cases, a broken pallet, an incorrect count, or arriving outside the appointment window. On produce in particular, the receiver is assessing the product against a grade standard, and marginal product that was marginal at loading will not have improved in transit. Where the freight is genuinely borderline before it goes on the truck, the honest conversation is worth having at the dock rather than after a rejection three states away, because a rejected load has to go somewhere and the options are all expensive.

Rejections at the receiver are the outcome all of this is trying to prevent, and when they happen the temperature download is the whole argument. If the record shows the product was in range for the entire journey, the conversation moves to condition at loading and the receiver own handling. If there is a gap in the record, the shipper generally loses regardless of what actually occurred. We pull the download on delivery as a matter of course and it goes into the file with the paperwork, because retrieving it three weeks later when a claim appears is often no longer possible.

How do you make sure the temperature held in transit?
By using carriers with continuous monitoring rather than spot checks, agreeing the setpoint and whether it is continuous or cycle-sensor before dispatch, and confirming the trailer was pre-cooled. If something drifts mid-transit, that is the moment to act — not on arrival when the only remaining question is who pays.
Do you handle Ontario Food Terminal deliveries?
Yes. The Terminal runs on early and unforgiving windows, and it rewards carriers who know the site. Produce freight generally is time-critical in a way most freight is not, which is why we match it to carriers who genuinely run food lanes rather than treating it as ordinary reefer capacity.
What happens if a load is rejected on temperature?
Documentation decides it. Continuous temperature data, the pre-cool record, pulp temperatures at loading and clean paperwork are what establish where the failure happened. What temperature should a refrigerated truck be set to?
It depends entirely on the commodity. Frozen freight typically runs at or below -18C, most chilled produce and dairy sit between 0C and 4C, and pharmaceutical loads usually run 2C to 8C with a tight tolerance. The right answer is whatever your product specification says - we ship to a stated set point, not to a guess.
Do you have reefer trucks in Toronto?

What is the difference between continuous and cycle-sentry reefer operation?
Continuous keeps the unit running constantly, which holds a tighter temperature and suits produce, dairy and pharma. Cycle-sentry lets the unit cycle off once it reaches set point, saving fuel, which is fine for frozen freight with thermal mass. If your commodity has a narrow tolerance, ask for continuous.
Can you carry frozen and chilled freight on the same trailer?
Only with a multi-temp reefer that has bulkheads and separate zones, and it needs to be arranged at booking rather than at pickup. On a single-zone trailer everything travels at one set point, so mixing frozen and chilled on one load is not workable.
